Most Zimbabwean business owners we talk to have the same first question about AI automation: what does it actually cost? The honest answer is “it depends”, but that is not useful, so here is a realistic breakdown based on the projects we deliver from Harare for SMEs across Zimbabwe.
The three cost layers
Every automation project has three separate costs, and confusing them is where most budgets go wrong.
- Build cost – the one-off fee to map your process, build the workflow, test it and hand it over.
- Platform cost – monthly subscriptions for the tools the automation runs on (Zapier, Make, n8n, an AI model provider, your CRM).
- Running cost – usage-based charges such as AI tokens, SMS or WhatsApp messages, and optional monitoring or support.
Typical build costs in Zimbabwe
Prices below are indicative USD ranges for the kind of work we do. Your scope will move them, but they give you a sense of scale.
| Project type | Example | Typical build range | Timeline |
|---|---|---|---|
| Single workflow | Web form → CRM → WhatsApp confirmation | $300 – $900 | 1–2 weeks |
| Multi-step process | Lead intake, enrichment, routing, follow-up sequence | $900 – $2,500 | 2–4 weeks |
| AI support agent | WhatsApp/email bot that answers FAQs and escalates to staff | $1,500 – $4,000 | 3–6 weeks |
| System integration | Connecting an ERP or accounting system to sales and support tools | $2,500 – $8,000+ | 4–10 weeks |
| Document processing | Invoice or KYC extraction into your finance system | $2,000 – $6,000 | 3–8 weeks |
Platform costs you should plan for
Automation platforms are priced in USD and billed monthly, which matters when you are budgeting in a mixed-currency environment. Rough figures:
- Workflow platform (Zapier, Make): $20–$100 per month for most SMEs. Self-hosted n8n can bring this close to zero if you have your own server.
- AI model usage (OpenAI, Anthropic): often $5–$50 per month for a support bot handling a few hundred conversations; more for document-heavy work.
- WhatsApp Business API: per-conversation pricing, typically a few cents per conversation in Zimbabwe.
- CRM or helpdesk: you probably already pay this; automation does not add to it.
What makes a project cheaper
- Your process is already written down, even roughly.
- The tools involved have proper APIs (most modern SaaS does; older local systems often do not).
- You start with one high-volume, low-risk process rather than trying to automate everything at once.
- Someone on your side can answer questions quickly during the build.
What makes it more expensive
- Legacy systems with no API, which need screen scraping or manual exports.
- Processes with many exceptions and human judgement calls.
- Compliance requirements that demand audit logs and approval steps (common in finance and healthcare).
- Unreliable connectivity for on-premise systems, which needs retry and queueing logic.
How to judge whether it is worth it
Count the hours your team spends on the task each week, multiply by a loaded hourly cost, and compare it with the build cost plus twelve months of platform fees. A workflow that saves one person ten hours a week usually pays for itself inside three to six months. If it also reduces errors or speeds up customer responses, the return is faster still.
